1. Who We Are
This Privacy Policy explains how Oklahoma's Choice Weekly, also referred to as "OCW," "we," "us," or "our," handles information collected through oklahomaschoiceweekly.com, the OCW client portal, submission forms, advertising services, and related communications.
2. Information We Collect
Information you provide
Depending on how you use our services, you may provide your name, email address, telephone number, mailing address, business or organization name, advertising instructions, requested run dates, account questions, messages, and other contact or transaction information.
When you submit content, you may also provide photographs, artwork, documents, event details, classified information, press releases, auction information, tribute stories, memorial information, or other materials you choose to send us. Please submit only information and materials you are authorized to share.
Client portal information
Advertisers using the client portal may provide a business name, access code, campaign requests, artwork, proof feedback, billing questions, and support messages. The portal may display account, campaign, artwork, invoice, payment, and advertising-history information associated with that advertiser.
Payment information
Online card payments are completed on Stripe's website. OCW does not receive or store your complete payment-card number. We may receive transaction details such as the payer's name, email address, amount, date, payment status, and receipt or transaction reference.
Information collected automatically
When you visit the website, our hosting provider and connected services may automatically receive technical information such as your IP address, browser and device type, operating system, referring page, pages visited, dates and times, and general interaction data. The client portal uses session storage to keep an authenticated session active in your browser.

4. When Information Is Shared
We may share information with service providers that help us host the website, store business records, operate forms and the client portal, process payments, deliver embedded content, or communicate with users. Depending on the feature used, these providers may include Netlify, Notion, Stripe, Meta/Facebook, Chatbase, Heyzine, YouTube, Vimeo, Google services, and similar vendors.
We may also share information when you direct us to publish it, when necessary to complete a requested service, to protect rights or safety, to investigate misuse, or when required by law. Public submissions selected for publication may appear in print, on the website, in digital editions, on social media, or in other OCW channels.
We do not sell personal information. We do not share personal information for cross-context behavioral advertising as those terms are commonly defined under U.S. state privacy laws.
5. Cookies, Embedded Content, and Outside Services
The site may use browser storage, cookies, pixels, or similar technologies that are necessary for site functions or are placed by embedded and linked services. For example, Facebook page content, videos, flipbooks, maps, chat features, and payment links may connect to third-party services. Those providers may collect information under their own privacy policies.
You can limit cookies through your browser settings. Blocking cookies or storage may affect embedded content or portal functions. Following a link to another website means that website's privacy practices apply.
6. Retention and Security
We retain information for as long as reasonably necessary to provide services, maintain publication and advertising records, meet accounting or legal requirements, resolve disputes, and protect the integrity of OCW's archives. Retention periods vary according to the type of record and why it was collected.
We use reasonable administrative and technical safeguards designed to protect information. No website, email system, file transfer, or online storage service can guarantee absolute security. Portal users should protect their access codes and notify OCW promptly if unauthorized access is suspected.
7. Your Choices
You may ask to review, correct, or delete personal information you have provided, subject to publication archives, transaction records, legal obligations, and other legitimate business needs. You may also ask us to stop using unpublished material or withdraw a submission before publication when reasonably possible.
